Eventide is seeking a highly motivated, client-centered, and detail-oriented individual to serve as Office Administrator. This position will be responsible for providing exceptional service to the dozens of corporate leaders and clients who visit our offices on a weekly basis. This role will also serve internal departments as an office coordinator.

This hands-on role will drive impact across Eventide administratively with a particular focus on client service and office management. Reporting directly to the Executive Assistant to the CEO, this position creates positive first impressions by representing Eventide’s core values in every interaction. This is a high-profile position in which the ability to multitask, prioritize, take initiative and wear many hats is essential as part of a high performing team in Boston, MA.

Duties and Responsibilities

  • Create a warm first impression of the company for visitors, clients, and employees, by phone and in person
  • Manage office shipping and receiving; receive incoming mail, packages, and deliveries, and assist with outgoing mail
  • Coordinate conference room schedules and technology needs
  • Assist with catering order coordination and set-up
  • Maintain general tidiness, and engage in light housekeeping of office, specifically in reception area, conference rooms, copy room and kitchen area
  • Manage office inventory and stock, including supplies and snacks
  • Act as liaison to building services for general office maintenance and facility issues
  • Assist with the coordination of internal and external events
  • Reconcile office expenses in a timely manner, including paying invoices
  • Support new hire onboarding as needed, specifically with Expensify application administration and employee headshot coordination
  • Assists with security procedures including issuing badges and registering visitors with building security
  • Provide overall administrative support to employees, including travel coordination and calendar management as needed
  • Adhoc duties and projects as assigned including, but not limited to, documentation and presentation preparation


  • 1-2 years of administrative, reception or facilities experience
  • Strong client service orientation and ability to work with multiple stakeholders, including all levels of employees, senior management, and external parties
  • Exceptional organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to work independently in a fast-paced environment
  • Aptitude for learning new technology applications quickly
  • Ability to work within compliance of Eventide’s Code of Ethics
  • Act as a proactive team player who anticipate needs, expresses warmth and friendliness, and possesses a “roll up your sleeves” supportive attitude
  • Demonstrate the core values of Eventide in execution of duties, and be dependable, detail-oriented, punctual, and presentable

  • Ability to be in the Boston office Monday through Friday from 8:30am – 5pm
